South Devon Nature Photography (“we”, “us”, “the Guide”) is the data controller for the personal information you provide. You can contact us at southdevonnaturephotography@gmail.com or The Mill, Derby Rd, Kingsbridge, TQ7 1JL.


2. What Data We Collect & Why
We collect and process the following information to provide our services safely and effectively:
Contact Details: Name, email, and phone number to manage your booking.
Health & Fitness Data: Details of physical limitations, medical conditions, and allergies. This is "Special Category Data." We collect this only to ensure your safety on our outdoor courses.
Emergency Contact Info: Name and number of a person to contact in an emergency.
Photographs: We may take "behind-the-scenes" photos during workshops for promotional use. 

 

3. Our Lawful Basis for Processing
Under the UK GDPR, we rely on the following legal bases: 
Contract: To fulfil your workshop booking and communicate with you.
Explicit Consent: For processing your sensitive health data and for using your image in promotional photography.
Vital Interests: To share medical or contact details with emergency services if you are incapacitated during a workshop. 


4. Data Sharing
We do not sell your data. We only share your information with:
Emergency Services: If required for your immediate medical safety.
Our Assistant/Admin: Only if they require it to support the logistics of your specific workshop. 


5. Data Retention
General Data: We keep booking records for 7 years for tax and insurance purposes.
Health Data: Your health declaration is highly sensitive. We destroy this 7 days after your workshop concludes, unless a safety incident occurs that requires it for insurance records. 


6. Your Rights
You have the right to: 
Request a copy of the data we hold about you.
Ask us to correct inaccurate information.
Withdraw your consent for us to use your health data or promotional photos at any time.
Request that we delete your data (the "right to be forgotten"). 

 

7. How to Complain
If you have a concern about our data practices, please contact us first. You also have the right to complain to the Information Commissioner’s Office (ICO) at www.ico.org.uk.
